Q) How can I keep the cost of the system down?
A) The least expensive approach to using PassTracker is in a single computer configuration. Using existing equipment will also keep costs in line. Purchasing high end computers is not necessary, as any reasonably current model will run PassTracker quickly and easily.
The installation costs can be cut if the purchaser takes on most of the responsibility for the installation of the system themselves. This involves reading the manual, installing software, configuring hardware, training staff and importing their own data from any previous systems. The system is quite comprehensive and as such may not require any further customization to match the needs of the customer.
Q) I already have a computer, can I use my own computer for the system?
A) Yes, existing computers can be employed for the system. The computers do need to be reasonably current machines, running, either Macintosh OS X 10.5 or higher, Windows XP, Windows Vista or Windows 7 and having Wireless or Ethernet connectivity and USB ports for the scanner. Other than that, they don't have to be very powerful. To minimize installation problems, it is recommended that the computer be cleaned off and a fresh operating system installation be done. Once the system is setup, it is a good idea to limit what other applications are installed, to maintain a clean and fast system for PassTracker.
Q) How much training is needed to get the system up and running with staff?
A) A training budget depends on how many people are being trained, their computer experience, and how active management is in the process. There is a fairly comprehensive and visual User Manual for Staff. It is approximately 20 pages, with many screenshots, taking about 10 minutes to read and covering 90% of the things staff might need to do.
For an administrator, it might be a couple of hours to review all the configuration options. Administrators can also read the manual and do it themselves.
The cost of external training could go to zero if the customer takes responsibility for training their own staff. In actual installations, very little training was required. Staff users are limited to a small set of actions that they can only perform via on screen buttons. This minimizes the training curve. There are really three important screens for staff members: Customers, Receipts (Sales or Refunds) and the Scanner screen.
Q) How difficult is it to import data? How much time should be allowed?
Importing from an older version of PassTracker takes about two hours. Importing from other systems may require more time depending on how the data is structured. This process must be done by HomeBase Software. It is also possible to start from scratch and manually enter all of your membership into the system.
