PassTracker Activity Management and Point of Sale Software is a low cost system designed to track product sales and membership pass.

Why is there a need for PassTracker?
Many fitness clubs, climbing gyms, yoga studios and activity classes are run using the honor system, often with a simple paper-based tracking list. Users sign in on a piece of paper when they show up at class. These lists are then tossed in a drawer with good intentions of being reviewed at some later date. They rarely are. Even when they are, the handwriting on the list is often unreadable and everything is done after the fact, no real time checking of passes is done.

What PassTracker does is eliminate the need for paper lists. Customers are given a pre-printed business card sized paper pass or a plastic card, with a bar code printed on it. The bar code is simply a unique number represented in a bar code font format. It is a series of vertical bars, similar to the bar codes used on product packaging. The customers name and an expiry date is added to the pass at the time of purchase. The bar code from the pre-printed pass is entered into the computer, and is then related to the customers purchase.

When the customers show up for a visit or class, the pass is scanned using a bar code scanner. The software system immediately checks to see if the customer has a current pass. If they do, they are approved quickly through the system. If they don't have a current pass, the system reminds them and the staff attendant of the need to purchase a new pass. The system can handle passes based on a timed expiry, such as a monthly pass, or a per session pass, such as a ten visit pass. By aligning the customers perception of the number of days left on their pass with the reality of how much time is actually left, revenues can immediately be increased. In one implementation, a gym owner saw an additional $600 in revenue on the first day of usage.

In addition, PassTracker increases management information of how passes are being used, allowing for the better pricing and pass design. Different pricing schemes can be experimented with. It is also possible to see how many times the average monthly pass is being used and decide whether pricing is too high or too low. If for instance it turns out monthly passes are only used on average 6 times a month, pricing for this pass might be lowered.
