Receipts - the Gift Certificate Process - Creating and Redeeming them

Create a New Cash Sale

If the person purchasing the gift certificate, is already a member, you can make this a Member Sale, otherwise, create a new Cash Sale. You may want to enter them into the system, so that their name can show up on the Gift Certificate.

Select the type of Gift Certificate they wish to purchase

1) Select type of Gift Certificate
2) Click 'Add Item'

It is possible to create multiple Gift Certificates on the same Receipt.

Enter Payment Method

In this case, it is a Cash Sale.

Print Gift Certificate

Click the small print icon to print a gift certificate for the Customer to take away with them, either in a print form or as an email.

Enter a Name to appear on the Gift Certificate

This is the person for whom the Gift Certificate is being created. This name will appear on the Gift Certificate.

Select Print or Email

You can either print the gift certificate of email it to the Customer.

Gift Certificate for Customer

The customer can now take away a printed copy, or as an email that they can forward to the person for whom they are purchasing the Gift Certificate.

1) Who it is for
2) the ID numbers
3) Who it is from.

Note: if the Customer wants their name to appear on the Gift Certificate, you should enter them as a Member and make this a Member Sale, otherwise you get the generic 'Cash-Date' line in the From field.

Important information on Gift Certificate - Receipt and Item Numbers

These numbers help you match up the Gift Certificate when the person receiving the gift comes in to redeem their Gift Certificate.

Redeeming a Gift Certificate

Using the Receipt and Item Numbers, look up the Receipt ID in the Sales database

Enter the Receipt ID #

Then hit the Enter key on the keyboard to perform the Find.

Check Payment Notes to see if Gift Certificate has been Redeemed

Check the Payment Notes to see if the Certificate has already been redeemed.

Remember to return to this invoice and enter notes that the Gift Certificate has been redeemed when you have completed this process.

Enter the Gift Certificate holder as a Customer

If they already exist as a Customer, then add a Member Sale. Otherwise, set them up as a Customer first. Then create a Member Sale.

Sell them the Matching Pass from the Gift Certificate

In this case, it was an Annual Pass, so I select
1) Annual Pass and
2) click 'Add Item'

Pass Created

Pay for Pass with Gift Certificate

Use the 'Gift Certificate' form of payment. Then be sure to enter Payment Notes to enter the Gift Certificate Receipt ID #

Enter Payment Notes details about the Gift Certificate Number.

Search for the Original Receipt again

1) enter Find mode
2) enter the Receipt ID
3) hit the Enter key on the Keyboard.

Enter something about when and how the certificate was redeemed when processing the Gift Certificate for the Customer
