PassTracker - How to Setup the Scanner Database

The scanner database is used to capture bar code scans of people coming to the gym or studio. It is important to set it up correctly to best match your business needs.

Main Scanner Screen

This is what your clients or students will see when checking in with their bar coded pass.

1) Bar Code Field - at the top is the field that the bar code gets scanned into. The cursor should be in this field at all times when the computer is waiting for customers to scan in.

2) Continuous Activity/ Batch Activity/ Error Log - The tab will display either Continuous or Batch Activity. An example of continuous activity would be a climbing gym or fitness studio where people come and go as they wish. The Batch Activity approach is related to class activity. People come for a specific time to attend some event or class.

3) People Scanned in Today or for this event will show a count of people scanned in.

4) Scanner Settings - this button takes you to the settings layouts which are shown below.

5) Hide Button - you can hide the screen. This is used primarily on the Staff Computer. The Scanner computer should always display this layout.

6) Search Button - this is a manual button for searching for a Bar Code. It is largely unnecessary now when using the program with FileMaker 10, which has script triggers that occur when you tab from the field.

Session Setup - Continuous Intake

Setup is fairly simple for Continuous Intake. The date is set automatically by the system. The location can be entered in the main setup screen. All that really needs to be entered is a Customer Message.

Session Setup - Batch Intake

Batch Intake is for organizations using PassTracker for things like Yoga Classes or Fitness Classes.

Batch Intake setup is a little more complex than Continuous Intake Session Setup. It is possible to select from a variety of classes setup in the main Setup Screen. The portal in the bottom would be populated with the various classes and to select one, it is just a matter of clicking on it to set that as the current class or session for the Batch to operate on.

Scanner Settings

The important items here are:

1) Show Error Message: best left set to 'Yes'
2) Message Delay (seconds): 3 seconds seems to work well. The system can handle almost instantaneous continuous scanning, it is just that the message will display for 3 seconds if given a chance. If someone new scans, the error message moves on. Staff can always review the Error Log to see what just happened with the previous scan.
3) Scanner View Mode: Full or Simple. Full displays a list of people who have scanned in recently. Simple just shows the bar code scan field.

Error Sounds

There are three main methods: Beep, Speak and Play Sound. There is a separate lesson on setting up Error Sounds.

Promo Message

This is a container field designed to hold an image file. This image displays to the right of the bar code scan and list of scanned passes on the main Scanner screen. Click on the field to add a new image. Click on it again to clear the image.

Message Layout

This is the screen that the customer will see after they scan their pass. Any error messages show up here. If their pass is current, it will tell them how many more sessions are avialable or how long before the pass expires.
