PassTracker - How to Put a Pass on Hold

Injury? This is how you can put someone's pass on hold until they recover.

Allowing Pass on Hold Function

The company has to set a policy about whether to allow Customers to request that their Passes be put on hold for reasons of injury, vacation, illness etc.

Once this is decided, go to the
1) Setup Tab
2) General Settings.
3) Use the Toggle "Allow Staff to Put Passes on Hold".

 

Select a Pass from the Customer Screen

Clicking on any Pass in the Customer Passes tab, will open an edit screen for the Pass.

Pass/Product Detail

The important fields in this function.

1) Start Date - usually the date a pass was sold.
2) Duration days - standard length for a pass, such as 30 days.
3) Expiry Date - the expiry date is a calculation of the Start Date, plus the duration days.
4) Pass on Hold (Yes/No)
5) Date Pass put on Hold
6) Put Pass on Hold/ Take Pass Off Hold button.

Clicking "Put Pass on Hold" Button

A dialog box will come up, with two entry fields, the first is a reason for pass on hold. The second is the date. It defaults to the current date, but can be edited at this stage.

Clicking OK, puts the pass on hold.

Now the Pass is on Hold 1).

The Date pass put on hold is set 2) and the Reason for Pass on Hold is also set. 3)

Note that 4) the button has changed to "Take Pass Off Hold"

Let's take another example. In this case,

1) the Start Date was 9/1/2007.
2) The Duration was 30 Days and the
3) Expiry date was 10/1/2007.
4) the Pass was put on hold on 9/5/2007.

5) clicking the "Take Pass Off Hold" button results in this change:

Notice the changes:

1) Start Date stays the same
2) The Duration days have been increased by twelve days (the difference between Today and the Date Pass Put on Hold.
3) New Expiry date, lengthened by the period that the pass was on hold.
4) Pass on hold date cleared out
5) Reason for Pass on Hold cleared out.
6) Put Pass on Hold button relabeled, ready to put the pass on hold again.

Reason for Pass on Hold Log

A log field contains the history of the Pass on Hold events. This will help in looking back at a customers history of making changes to their passes.
