This tells you how to setup a specialized printout for Gift Certificates in PassTracker.
Go to the Setup layout, Receipts Tab.
Important Note: The Gift Certificate container field uses a particular kind of FileMaker field called a Global Field. This type of field can only be effectively edited when the database is in single-user mode. If the database is shared with another computer (like the Scanner computer) the changes to the Global field will not 'stick'. They will work for the session that you are currently in, but as soon as you log out, they will revert back to the previous content. Moral of the story: to change Global fields, make sure that the database is open on just one computer before making edits.
Click on the box that reads "Click Here to Import Gift Certificate Image" to select a file from your hard drive. This file can be either a PDF or most graphics formats such as TIFF, JPEG, PNG etc.
To clear the field, click on the image again. You will be prompted to clear out the image if you want to. Then you can click the box again to import a fresh image.
Go to the Product and Passes area and enter an item for each denomination of Gift Certificate. Set their type to be Gift Certificate.
Make a sale from the Gift Certificate selector.
Notice how with a Gift Certificate, a small print icon will display. Other products and Passes will not display this icon.
Clicking the small printer icon, will display a Gift Certificate. A dialog box will prompt for the entry of a name for the To: field.
The script pauses to allow you to review the data that has been entered. If anything is incorrect, click Cancel and go back to the main Receipts screen.
The next dialog box presents a choice to Print, Email or Cancel
Selecting Print brings up the print dialog box. Click Print to Print out a Certificate.
Clicking Email to Customer will generate an email with the Gift Certificate as a PDF ready to send to the customer.
Click Cancel to back out of the print routine.
In the event that you cancel while in Preview mode, you can still select all three of these options from the Gift Certificate screen. The top right area there is a button to go Back to Receipt. It is also possible from this stage to Email the Receipt to the Customer, so they can print it out themselves. This allows the sale of Gift Certificates over the phone.
At the bottom right of the Gift Certificate is a serial number, the first part is the Sales Receipt ID and the second part is the Line Item ID. This creates a unique number set, so that it becomes possible to track Gift Certificates.
